POST Rehabilitation and Wellness is a dynamic Outpatient Therapy clinic dedicated to providing top-notch services to our community. POST provides Physical Therapy, Occupational Therapy, and Speech Therapy services. We are seeking a highly organized and proactive Office Manager to join our team and contribute to the efficient functioning of our clinic.

Responsibilities
Patient Relations:
  • Oversee and manage the front-end operations of the clinic. 
  • Ensure excellent customer service by greeting and assisting clients
  • Manage patient check-in and check-out processes, ensuring accuracy of information
  • Respond to patient inquires, resolve concerns, and facilitate effective communication between patients and clinical staff in a timely and professional manner.
Appointment Scheduling:
  • Coordinate and schedule patient appointments, optimizing clinic resources.
  • Manage the appointment reminder system to reduce no-shows and cancellations.
  • Work closely with clinical staff to accommodate urgent and priority appointments.
Insurance Verification and Billing:
  • Verify patient insurance coverage and ensure accurate billing information.
  • With the support of our AR resource team, address insurance-related issues.
  • Collect and process patient payments, providing receipts and maintaining financial records.
Front Office Coordination and Record Management:
  • Maintain a clean and organized front office space.
  • Oversee inventory management of office supplies and forms
  • Ensure accurate and timely entry of patient information into the electronic health records system
  • Safeguard patient confidentiality and compliance with HIPPA regulations.
  • Generate and analyze front-end reports to identify areas of success and improvement
Collaboration with Clinical Team:
  • Foster effective communication between front-end and clinical staff
  • Participate in regular team meetings to address operational success and challenges and implement adjustments.
  • Coordinate with clinical staff to optimize patient flow and enhance the overall patient experience.
  • Manage employee schedules and assign tasks to ensure efficient operation of the front end
Qualifications:
  • Proven experience as an Office Manager or similar role in a healthcare setting
  • Strong organizational and multitasking skills
  • Excellent leadership and interpersonal abilities.
  • Familiarity with healthcare regulations and compliance requirements.
  • Proficient in Microsoft Office skills
  • Exceptional communication skills, both written and verbal.
Requirements:
Previous experience in a healthcare setting is highly preferred
Knowledge of Outpatient Therapy clinic operations is a plus
